CHILD CARE REIMBURSEMENT POLICY
EFFECTIVE 1 NOV 2008
1. Volunteers may be reimbursed for childcare FOR THE PER HOURLY FEE CHARGED BY THEIR CAREGIVER (BUT NO MORE THAN $5 PER HOUR FOR ONE CHILD) FOR ACTUAL HOURS WORKED UP TO MAXIMUM OF $100.00 PER MONTH irrespective of how many children they have in care. It is the volunteer's responsibility not to go over their limit.
2. Volunteers may be reimbursed for all manner of childcare options that comply with local military installation child care policies to include the following:
- Child Development Centers (on and off base)
- Licensed Home Day Care Providers
- Private babysitters (non-family members)
3. Childcare reimbursement will not be paid for:
* External training courses taken by the volunteer unless that training is in direct relationship with the volunteer position.
* Mandatory volunteer time that is required or mandated by the military command (e.g. Sure Start, command or unit ordered community service, bus monitoring)
* Expenses incurred while the volunteer is enrolled in any medical and clinical training programs (e.g. Dental Assistant Training) for the duration of the program.
* Expenses claimed without signed receipts from the provider showing receipt of the monies the volunteer is claiming, and supervisor verifying the volunteer was working at this time.
4. All forms for reimbursement (see below) are to be submitted within 30 days of the expense to the Red Cross office at Kadena Air Base (preferably on/by the 5th of each month). Upon approval, a check will be mailed to the volunteer. This takes approximately two or more weeks.
5. Exceptions: ARC Leadership volunteers, essential volunteer to support ARC programs, and in other special circumstances child care reimbursement expenses can be negotiated with the individual Station Manager and approved in writing by the Senior Station Manager.
6. These guidelines may be changed when the funds for the volunteer child care restricted account is depleted or other circumstances necessitate such revision, additions or deletions. All recommendations for changes to these guidelines will be done with the approval of the Station Management Team for Kadena Air Base.
